1) To maintain data systems to high degree of accuracy daily and at the wish of the Team Leader
2) Minute taking and production of is essential to this request as there is a high level of meeting attendance
3) The telephones to this office can be very busy given the team offers business support to the Maintenance Service and
has sole responsibity to systems administration and work study. the post holder is required to take the calls and field
them where necessary, taking messages and asisting with call management
4) Good clear telephone manner to manage both internal and external enquiries at all levels
5) Must be a team player as there is dependancy on individual team members to each other
6) Ability to work under pressure as the service area is very busy and can be challenging
7) Input accurately and is methodical given the amount of data being managed by the team as a whole
8) IT skills sufficient to work with spreadsheets and databases, e.g. calculating percentages and other formulae, charts, pivot tables, transferring data between applications (however training will be provided) and to work with files stored on multiple network locations
9) Produce statistics and reports as and when required by the Team Leader
10) Preferably have a knowledge of our in house IBS Computer System
11) Demonstrate confidentiality and work within DP guidelines
To provide administrative and clerical support, to include word processing of letters, standard correspondence, documents, use of templates, faxing, filing photocopying and audio typing.
To provide statistical information from computerised and manual records.
To work as part of a team to deal with incoming and outgoing post, and telephone calls.
Update records and extract information using database and other IT applications as required.
To develop and maintain filing systems.
To arrange, service and minute meetings as required.
Providing cover for other members of the team as required, maily messaging.
Any other clerical or general office duties as required in order to maintain an effective and efficient service.
Training/Qualifications
Recognised typing/word-processing qualification, e.g. RSA Level II or equivalent. or is able to demonstrate they have good typing skills NVQ Level 2 in AdminGCSE Level Maths & English Grade A - or can demonstrate they have a high level of literacy and numeracy skills - C IT qualifications/experience e.g. Email, Excel, Word, Internet, PowerPoint
Experience
Significant experience in an administration/clerical role. Current experience in use of IT including use of spreadsheet, word-processing and database.Ability to prioritise work and meet deadlines Good organisational and communication skills.
